Outlook 2002 - Error Message

Good Day

I am trying to help someone with a problem on their system. Since I have not sat down at the system, I can only go on the error they gave me. They use a Customer Relations Management (CRM) system that uses Outlook as the default email client. (CRM system, Maximizer, Windows 2000 Professional O/S and Outlook 2002). As soon as the person tries to create a new email trhough the CRM system, they get a
'Another program is trying to access outlook do you want to give the other program permission' If you click on yes, you get
'The other program trying to send the email might contain viruses'
And it still fails to work. My real question is, is there anything in Outlook 2002 that could cause a conflict like this? ANY leads / nudges in a direction / opinions or possibilities would be greatly appreciated.

I apologise if the mail is vague, but I am really unsure of the whole situation.
